Volunteering at Philcon
Philcon is a completely volunteer run convention. We depend on people like you to make this possible. We are always looking for more volunteers, both pre, during and teardown/load-out after the convention.
No experience is necessary for most items, we will train you!
You can volunteer for as much or as little as you wish, and around your needs and prgramming items you want to attend. Whatever fits your schedule.

- Publicity, Social Media
- Marketing
- Helping to plan the program
- Proofreading/editing our webside and publications
During the Convention
- Logistics and Load In/Out:
- Starting at the storage unit Thurday evening to load the truck and unloading it at the hotel
- Teardown and Loading the truck Sunday evening and then unloading it at the storage unit
- Staff our registration desk or help out in the office with information and volunteering
- Design, install, run, and tear down our tech (Main Stage in Grand Ballroom A as well as Program A/V)
- Help at the:
- Art Show
- Masquerade
- Green Room
- Con Suite
- Gaming Room
- Assist programming with their operations during the convention including helping out in the program sessions
- Assist with convention operations
How to volunteer
Volunteering is easy. Before the convention you can email us at volunteers2025@philcon.org telling us what you’d like to help with, or that you’re just available to volunteer. We will get back to you.
During the convention, please stop in at the office in Crystal 1 and talk with the person at the first desk. They will be glad to assist you and notify the appropriate department about your offer to volunteer. They can even point you to where to find that department head to get the process started more quickly.
Paperwork
Alas, yes we need paperwork, sorry. There are two forms you will need to fill out, either in advance and bring them to the convention, or you can get them there and fill them out.
The first is the liability release. This is because you are a volunteer and not an employee of the convention. In addition, if you are a minor, this form must be signed by your parent or legal guardian.
The second is your hours log. You will fill out this form with the hours you worked, and get those lines signed off by the department head (or their designee) for whom your are working. Track all of your volunteer hours, and before you leave turn in the signed sheet at the office in Crystal 1 or at the storage unit if you help with unloading the truck.
Volunteering can be rewarding
Twelve hours will get you a non transferable volunteer rollover membership to next year’s convention if you had a volunteer rollover or a paid membership to this years convention.
Hours worked the Thursday or Friday of the convention week (before Friday at 3:00 PM), or Sunday of the convention starting at 4:00 PM) will be doubled.
